Job Purpose

The Intel and Admin Coordinator (IAC) plays a vital role in Fortis Group LLC, integrating intelligence analysis with key administrative responsibilities. This position supports investigative operations through the collection, analysis, and reporting of intelligence data, while simultaneously managing essential administrative tasks such as uniform inventory, employee rostering, and partner coordination. The IAC ensures efficient and effective operations across intelligence and administrative functions to strengthen Fortis Group’s security and investigative capabilities.

Duties & Responsibilities

1. Administrative Support

• Manage Uniform and Equipment Management: Oversee the inventory, ordering, and distribution of uniforms and equipment, ensuring all employees have access to necessary attire and supplies. Coordinate with suppliers for timely delivery and manage uniform tracking, repairs, and replacements as needed.

• Training and Attendance Coordination: Assist in organizing training schedules, verify participant attendance, and maintain accurate training records. Ensure all required materials and uniforms are prepared for training sessions and provide communication support for training schedules and instructions.

• Employee Rosters and Bio Management: Maintain and update employee rosters, including new hires, shift assignments, and location details. Support the onboarding process by adding new staff information and updating bio sheets for specialized accounts, ensuring client needs are met.

• Document Management and Partner Coordination: Organize, upload, and secure essential employee and operational documents. Facilitate smooth communication with Partner Solutions and maintain an accessible filing system to meet documentation and reporting requirements.

• Location Familiarization and Shift Support: Develop familiarity with employee locations and assignments to support accurate roster creation and shift management. Regularly update rosters for SOCX, ensuring optimized coverage and staffing alignment with organizational needs.

• Recruitment and Onboarding Support: Post job openings on LinkedIn, assist with candidate screening and outreach, and support HR in the scheduling and onboarding process. Ensure new hires are equipped with uniforms, role expectations, and administrative resources.

• General Administrative Assistance: Serve as a key contact for administrative inquiries, supporting HR, Operations, and Intelligence teams. Develop SOPs for uniform management, rostering, and document handling to promote efficiency and accountability across all functions.

2. Data Collection and Analysis

• Collect data from various sources, including social media, online databases, financial records, and internal systems.

• Perform data analytics to identify patterns, trends, and anomalies that may indicate risks or areas requiring attention.

• Utilize specialized intelligence software and tools for in-depth analysis and correlation of complex datasets.

3. Support for Investigative Operations

• Assist in the collection and preservation of digital evidence to support internal investigations.

• Coordinate with investigative teams to provide comprehensive analytical support for ongoing cases, including digital forensics, open-source intelligence (OSINT), and network analysis.

• Produce detailed investigative reports and documentation to aid in case resolutions.

• Keep accurate and thorough records of all investigations, documenting methodologies and protocols for future reference.

4. Threat Assessment

• Evaluate potential threats and vulnerabilities relevant to the organization’s environment.

• Make recommendations for proactive measures to mitigate identified risks and support a robust security posture.

• Develop and implement new processes or tools for the improvement of investigative and intelligence functions.

5. Technology Utilization

• Maintain oversight of various intelligence gathering systems and utilize specialized tools to optimize intelligence operations.

• Stay up to date on emerging threats, industry trends, and advancements in intelligence and security technologies.

• Regularly review and refine intelligence gathering techniques and analytical methods to enhance effectiveness.

6. Continuous Improvement & Professional Development

• Develop and implement new processes or tools for the improvement of investigative functions and intelligence operations.

• Participate in training and development opportunities to maintain expertise in both investigative and information security domains.

• Continuously seek opportunities to refine methodologies and adopt innovative practices for enhanced intelligence operations.

Qualifications

General qualifications sought for the Intel and Admin Coordinator (IAC) position may include:

• Bachelor’s degree in Intelligence Studies, Criminal Justice, Business Administration, or related field preferred.

• 1-3 years of experience in intelligence analysis, investigations, or administrative support.

• Strong proficiency in data analysis, intelligence software, and Microsoft Office Suite.

• Excellent organizational skills with a strong attention to detail.

• Effective communicator with strong written and verbal skills.

Working Conditions

• Primarily office-based, with occasional field visits for data collection or meetings.

• Some flexibility in work hours must be available for emergency situations.

• Occasional travel may be required.
